The Challenges and Objective

Following the successful completion of the Solution selection project, our client was determined to commence the implementation of the chosen Finance and Resident Management system. The transition to the new system was expected to significantly affect the organisation requiring the involvement of a large number of internal stakeholders. The implementation process also posed challenges due to rapidly changing legislative requirements.


In light of these circumstances, our client was looking to secure a partner who could deliver comprehensive project management and implementation support and effectively navigate the complexities of the implementation process ensuring successful deployment.


The key objectives of the project were to implement the selected systems with minimal downtime in the transition to the new system, ensure all the required changes to business processes are implemented in preference to any product customisations, ensure the staff is trained and all the project risks, budget and scope are managed within agreed tolerances.

The Solution

Forward Logic has created an integrated solution delivery process to complement Prince2 with the Stage Gates approach to provide an opportunity for review and endorsement before committing to additional expenditure. The key activities completed by the Forward Logic team:

  • Requirements clarification and assistance with design specification
  • Business Change Management, including communication plan, training plan and development of the client-specific training documentation
  • Test script development and test management
  • Data migration assistance
  • Development of relevant support documentation

Forward Logic’s experienced Project manager oversaw the planning, execution, and overall coordination of the successful implementation, collaborating closely with the internal stakeholders and the vendor of the implemented solution while Forward Logic’s business analyst ensured that the system was aligned with the business needs and requirements and facilitated a smooth transition to the new system, which was particularly important given the extensive scope of change in the project.


Forward Logic also had a Subject Matter Expert (SME) with an extensive experience in Finance implementation projects and ERP integration who provided specialised knowledge and insights when it was required.

The Result

The successful implementation of the Finance and Resident Management system was successfully completed within the anticipated timeframe, positioning our client for future growth and upcoming legislative changes. By leveraging Forward Logic's professional project manager for the Finance and Resident management system, our client achieved significant cost savings resulting in a final vendor cost that was an impressive 20% lower than the vendor's initial estimate.

The replacement of the two legacy systems with a single solution reduced the manual effort and provided the client with a single source of truth which resulted in a significant improvement in data accuracy. Accurate data has become the foundation for informed decision-making, ensuring that our client can rely on the information for strategic planning.

The effective implementation of change management strategies ensured a swift transition and efficient utilisation of the new solution, resulting in enhanced operational effectiveness and user satisfaction despite the significant changes for end-users and other teams affected by the transition.
