The Challenge and Objective

The vendor of our client’s Time and attendance solution announced the end of support for their existing system.


Although they were offered a migration path to the replacement product, our client has decided to use this opportunity to evaluate other options available in the market to overcome existing issues and improve their processes. They were looking for a solution that allows effective, efficient rostering of suitably qualified staff to provide services across all the sites to meet demand within the approved budget and meet rostering and timesheet requirements. Ensuring accurate time and attendance data recording, approval, correct award interpretation and integration with their existing payroll system was a top priority.

Recognising the urgency of implementing a new solution, our client needed to act quickly. Having previously collaborated with Forward Logic on solution selection projects, our client had confidence in our structured approach and well-established solution selection process that could expedite the decision on the best-fit system while ensuring a thorough consideration of requirements from all stakeholders.

Our client also knew that they would have to progress quickly with implementation. Although they intended to utilise internal resources for project and change management, they recognised the benefits of the professional consultant to provide implementation advice, share best practices, and offer assistance with specific deliverables as required.

The Solution

Forward Logic assisted with solution selection following our standard approach, with the following key activities completed:

 

  • Led and project managed solution selection
  • Liaised with vendors and stakeholders
  • Documented current needs and requirements
  • Developed Request for Proposal documentation, evaluation strategy and evaluation tools
  • Desktop review of the shortlisted products
  • Provided recommendations for the best-fit solution as well as an implementation plan, and estimated total cost of ownership, including the resources required to complement the vendor implementation plan to ensure successful implementation

Following the solution selection, the implementation phase began. A Forward Logic consultant joined the implementation team, working alongside the Project Manager, Change and Test manager and other project team members. The key tasks completed by Forward Logic were:

  • Test Plan and Test script development
  • Development of support plan, business impact assessment and return to normal plan
  • Development of a Cutover plan
  • Assistance with gap analysis and change management advice
  • Other implementation advice and guidance based on industry best practices

The Result

Despite time constraints, our client successfully selected the Time and Attendance system that aligned with the detailed requirements gathered from RAAFA’s stakeholders, all within the approved budget.

Having an experienced consultant in the implementation project team provided assurance that every aspect of implementation was thoroughly considered. Comprehensive test scripts not only helped our client to identify and rectify the defects at the early stages of the implementation but also facilitated a deeper understanding of the system, which led to a positive perception and confidence in the system among key users. Implementation advice, assistance, and careful planning enabled a successful launch within a very strict timeline.

Implementation of the new system allowed the client to improve their scheduling practices and rectify any inconsistencies in the process among different sites, resulting in improved efficiency.
