Selection and Implementation of a Workplace Health and Safety system.
Forward Logic successfully implemented a fit-for-purpose solution for Risk Management and WHS incidents, hazards, and audits. This was achieved on time and on budget despite the many challenges posed by COVID outbreaks at all client sites during the project, as well as limited availability of key stakeholders.
The Client
Our client is a not-for-profit organisation that provides aged care services to its customers.
The client has 7 retirement villages comprising over 1500 retirement living units and apartments, 19 assisted living units, 446 residential care places, and short-stay accommodation units.

The Challenge and Objective
Our client has always been committed to ensuring the health and safety of its workforce and maintaining compliance with all relevant regulations. To achieve this, they relied on manual spreadsheets and paper forms across multiple sites to manage its WHS processes and risks. This manual process was both time-consuming and labour-intensive resulting in inefficiencies and limited data visibility. They aimed to improve their WHS culture by replacing these manual processes with an accessible and user-friendly WHS and Risk Management system that would become a single source of truth, automate business processes, and provide excellent reporting capabilities.
With internal resources firmly focused on providing the highest possible care to its customers, our client was looking for professional help with the solution selection followed by the implementation of the selected system.

The Solution
With an established process of solution selection, a templated set of documents, and extensive experience in system implementations, the Forward Logic team guided the client through their solution selection and implementation journey.
The Result
The successful implementation of a solution for Risk Management and WHS incidents, hazards, and audits, tailored to client's specific needs, was achieved within the expected timeframe and budget, despite challenges posed by COVID outbreaks at client’s sites during the project and limited stakeholder availability. Forward Logic's proactive approach during the solution selection project also led to the exploration of the customer feedback functionality within the selected solution. This enhancement was seamlessly integrated into the project scope and successfully implemented without impacting the project's timeline, providing the client with additional benefits through a single comprehensive solution.
Implementation of the new WHS System allowed our client to significantly improve its ability to proactively identify and mitigate potential hazards and risks. This was primarily due to the solution's ease of use, accessibility, and effective change management strategies, which encouraged employees to report more hazards. With an increase in reported hazards and incidents through the use of the new system, our client established a stronger foundation for reporting and subsequent actions. The solution streamlined workflows and reduced manual efforts through process changes and integrations with other systems, significantly enhancing efficiency.
